A disciplined, transparent four-stage engagement process — from first conversation to formal closure. Every step documented, every deliverable quality-assured.
Four clearly defined stages that ensure every engagement delivers measurable, documented, and quality-assured results.
Every engagement begins with understanding. Before we scope any work, we invest time in understanding your organisation, its objectives, constraints, current state, and desired outcomes. This discovery phase is structured and thorough — using our Client Intake Form and discovery interviews to capture everything we need to provide accurate, relevant advice.
During this stage, we also assess urgency, project viability, business value, and any compliance or risk factors. We challenge assumptions where needed and flag anything that may complicate delivery before commitment is made on either side.
Based on the discovery findings, we develop a clear, detailed scope of work that defines exactly what will be delivered, by when, at what cost, and under what terms. The proposal is presented in a professional document that includes an executive summary, deliverables list, timeline, fee structure, and any relevant risk disclosures.
We do not begin billable work until the scope is agreed, the proposal is signed, and any required deposits are received. This protects both parties and ensures complete alignment on expectations before any effort is committed.
Delivery is where the majority of the engagement takes place. We execute against the agreed scope — producing deliverables, iterating based on feedback, and maintaining clear communication throughout. Every deliverable goes through our quality assurance process before it is presented to the client.
We provide regular status reports covering progress, completed items, upcoming work, risks, and any scope changes. Clients are kept fully informed at all times — no surprises. Where we encounter issues, we flag them early and propose solutions rather than waiting until they escalate.
No engagement closes informally. When all deliverables have been completed and approved, we issue a formal project closure report summarising what was delivered, lessons learned, and any recommendations for follow-on work. The client provides a formal sign-off confirming all requirements have been met.
The closure stage also includes an internal lessons-learned review — ensuring we continuously improve our processes and apply what we learn to future engagements. Closed project records are archived per our PEOS Document Management standards for future reference.
Working with Preservation means a consistent, professional, and accountable engagement from first contact to final sign-off.
Every aspect of our engagement process is governed by the relevant volumes of the Preservation Enterprise Operating Standards (PEOS). This framework ensures that our processes are consistent, compliant, and continuously improving.
When you engage Preservation, you are not just getting individual expertise — you are getting the full weight of a documented, quality-governed operational framework.
